A working checklist for Waikīkī

Print this, or keep it open during the call. Asking every company the same eight things in the same sequence is unglamorous and it is the single most effective thing you can do: it converts three pleasant conversations into three comparable answers.

  2. Read your association or resort rules yourself before the first call, then ask the manager to name two of them. The answer is instantly informative.
  3. Ask which trades the company uses and where they are based. On an island, the answer to “how fast can you fix this” is really a question about driving.
  4. Ask how many properties the company runs within a ten-minute drive of yours. Island-wide totals tell you about the company; local density tells you about your response times.
  5. Ask for two references from owners in your own building or street — not from the company's best market on another island.
  6. Get the fee, the basis it is calculated on, and the exclusion list in the same document. Three separate numbers hide inside one percentage, and only one of them is usually quoted out loud.
  7. Ask how the property is checked when it is empty. Empty is when humidity, insects and slow leaks do their work, and inspection frequency is a published fact for several companies.
  8. Establish who owns the guest list if you change manager. In markets where the same families return every year, that list is worth real money.

Before you sign

Before you sign anything, get the exclusions in writing: what is billed on top of the management fee, who pays for consumables, and what happens to your calendar if you want to use the place yourself.

It helps to write the twelve-month review before you sign the contract. Three questions: how often did I have to intervene, did the statements arrive when promised, and did anything appear on an invoice I had not been warned about.
